How the AI Receptionist Works

A transparent look at exactly what happens from the moment a customer calls to the moment you receive the lead.

5 steps, start to finish

πŸ“ž

Step 1 β€” Customer dials your existing number

Your customers call the same number they always have. There's no change for them, no new number to learn. You simply set up call forwarding on your phone (a standard network feature β€” we give you the exact codes to dial). That's it.

πŸ””

Step 2 β€” Your phone rings first (during business hours)

During the hours you set (e.g. Mon–Fri 9am–6pm), the call rings your mobile first for approximately 20 seconds. If you answer β€” great, it's a normal phone call. If you don't answer, the call is forwarded to our AI automatically. You always get first refusal.

Outside business hours: the call goes straight to the AI without ringing you. No middle-of-the-night disturbances.
πŸ€–

Step 3 β€” AI answers and greets the caller

The AI answers with your business name: "Thank you for calling Dave's Garage. This call may be recorded for quality and training purposes. How can I help you today?"

The call recording disclaimer is always played at the start of every call. The AI then listens for what the caller needs and responds appropriately.

πŸ“‹

Step 4 β€” Lead details are captured

The AI politely collects the following information through a structured conversation:

  • Caller's name
  • Callback phone number
  • Reason for calling / what they need
  • How urgent it is
  • Preferred callback time

Common FAQ questions (your hours, location, services) are answered automatically based on the information you provide us. The AI never asks the same question twice.

πŸ“±

Step 5 β€” You receive an instant SMS

Within seconds of the call ending, you receive a text message like this:

πŸ”” NEW LEAD β€” Dave's Garage Name: John Smith Phone: 07123 456789 Reason: MOT due this month, wants a quote Urgency: MEDIUM Preferred: Tuesday afternoon Call them back to book it in!

The lead is also stored securely in our database. You can contact us to request records or deletions at any time.

What the AI does β€” and doesn't do

We believe in being completely transparent about what you're getting.

βœ… What it does

  • Greets callers with your business name
  • Plays a call recording disclaimer
  • Collects name, number, reason, urgency, time
  • Answers basic FAQs (hours, location, services)
  • Rings you first during business hours
  • Answers immediately out of hours
  • Sends you an SMS lead summary
  • Stores call records securely
  • Deletes recordings after 60 days
  • Advises callers to contact emergency services if needed

❌ What it does not do

  • Provide medical, legal, or clinical advice
  • Book appointments automatically (manual follow-up required)
  • Take payment details from callers
  • Guarantee 100% uptime or zero errors
  • Act as an emergency service
  • Guarantee any business outcome or revenue increase
  • Share your data with third parties for advertising
  • Ask the same question twice
  • Record calls without playing a disclaimer

Setting up call forwarding

Once you're onboarded, you simply dial a short code on your mobile to enable call forwarding. It takes under a minute.

Option A β€” Forward when you don't answer

After 4–5 rings with no answer, calls go to AI.

**61*[Your DLX Number]#

Option B β€” Forward when busy (line engaged)

If you're already on a call, new calls go to AI.

**67*[Your DLX Number]#

Option C β€” Forward all calls (out of hours)

Turn on/off when you close for the day.

Turn on: **21*[Your DLX Number]#   |   Turn off: ##21#
Note on emergency calls
If a caller indicates they are having a medical emergency, are in danger, or require urgent help, the AI is configured to immediately advise them to call 999 or 112 and to end the interaction. The AI does not attempt to handle emergency situations.
